Adding Vacancies

Vacancies work in the same way as a normal Post

Vacancies work in the same way as a normal Post – title, content editor, featured image, and so on – but as a Custom Post Type, they live in their own dedicated section in the admin menu (rather than under “Posts”) and include some extra fields specific to job listings.

Key differences from a normal Post

  • Closing date – each Vacancy has a closing date field, letting you set when the role stops accepting applications. This is the main distinguishing feature versus a regular Post. Check how your site handles this once the date passes – some setups automatically hide or mark the listing as closed on the front end, others just leave the date visible as information with no automatic behaviour, so confirm which applies to your site rather than assuming.
  • Additional fields – depending on setup, Vacancies may also have fields for things like salary/pay grade, hours (full-time/part-time), location or parish, and a link or email address for applications – check the Vacancy editor’s sidebar for what’s available, as this can vary.
  • Listing page – Vacancies typically appear together on a dedicated Vacancies/Jobs listing page, similar to how Posts appear on a News page, usually ordered by closing date or publish date rather than needing to be manually linked from elsewhere.
  • Categories/Tags may not apply in the same way Posts do, depending on how Vacancies are set up – check the admin sidebar in the Vacancy editor to see what’s actually available for a given site, since this can differ diocese to diocese.

Adding a vacancy

  1. In the admin menu, find Vacancies (not Posts).
  2. Click Add New.
  3. Fill in the title, description, closing date, and any other fields specific to the role (salary, hours, location, etc.).
  4. Set a featured image if used – e.g. a generic photo or the parish/site logo, if there isn’t a role-specific image.
  5. Publish as you would a normal post.

Tip: Always double check the closing date before publishing – an out-of-date or incorrect closing date is one of the most common vacancy mistakes, and can mean applications are wrongly accepted after a role should have closed, or rejected while it’s still technically open.

Removing/closing a vacancy

Once a role has closed, check whether your site’s convention is to unpublish the vacancy, move it to Draft, or simply leave it live with the closing date shown – be consistent with however the rest of the diocese’s Vacancies are handled, so visitors don’t see a mix of expired listings still marked as open.
